Responsible for the direct oversight of the registration staff.Ensures the proper and timely registration of all pertinent data of scanned documents into the Ez-Cap and Entrendex systems.Provides direct oversight over the electronic sorting, batching, and vertexing of UM documents received via Fax Review.
Degree of Supervision
This position reports to the Director of Operations and requires minimal degree of supervision to ensure tasks are appropriately prioritized.
Job Duties and Essential Functions:
Monitors activity and reassigns staff as necessary to maintain 3-4 days maximum inventory of unregistered mail and a maximum of 1 day for UM documents in accordance with existing policies and procedures.
Implements controls to insure that total turnaround time of mail file and registration staff does not exceed 5 business days for none UM documents and a maximum of 1 business day for UM documents.
Reviews daily operational reports for the purpose of prioritizing and distributing unprocessed work to staff on a first in first out basis. Operation reports are transmitted electronically. May review other required reports as communicated to the supervisor on an as needed basis by senior management.
Responsible for maintaining system and report integrity.
Notes reporting discrepancies and works directly with the appropriate Information Services (IS) contacts to resolve.
When necessary, provides feedback to the staff to insure reporting integrity and accurate on-line reporting
Monitors individual operator production to assure achievement of daily minimum production standard of 263/338 registered claims and 650 authorizations. Identifies training for staff failing to meet established minimum production and quality objectives.
Responsible for the recruitment, interviewing and hiring of personnel. Is required to focus on staff retention and encourage a positive morale in the unit as well as the department.
Completes staff performance evaluations in an appropriate and timely manner.
Performs employee-counseling sessions in a private environment. Effectively listens to employees concerns and gives employee constructive feedback for improvement.
Reviews weekly production reports, bi- weekly attendance, and appropriate quality reports.Uses these reports as key indicators to monitor the staffï¿½s overall performance.
Has responsibility for staff orientation and training.Must arrange for necessary system access rights for new staff and distributes department training materials, approved policies and procedures, and such other approved reference materials as may be required for performance of the operatorï¿½s job functions.
The supervisor is required to hold at least one meeting each week to review new policies and procedures or to go over training topics with staff.Such meetings will be mandatory. Attendance will be monitored and staff is required to complete attendance acknowledgment sheets.
Works collectively with other supervisors and leads within the unit and in allied departments to insure cohesive operational procedures and controls.
Provides necessary support and back up for other supervisor(s) as may be required due to absence or other business needs.
Promotes a cooperative environment via self-directed teamwork. Identifies areas for procedural improvements. Is proactive in initiating appropriate and timely communications (i.e. meeting or e-mail) with other supervisors to resolve outstanding operational issues.
Effectively coordinates daily schedule. Attends meetings as required by senior management coordinates coverage of unit with lead or other supervisor.
Manages personal time off to provide oversight and accessibility to the claims unit, department and allied departments.
Responsible for effectively documenting policies and procedures, guidelines, external and internal correspondence, employee appraisals and disciplinary reviews in an organized and concise manner.
Maintains and keeps in total confidence, all files, documents and records that pertain to the operation of business of Cap Management Systems.
All other job related duties as it relates to the job function or as delegated by the management team.
Light physical effort (lift up to 10 lbs).Mostly sedentary work. Regularly needs to be able to bend, stoop and reach to file.
Bachelorï¿½s Degree of equivalent experience.
2-3 years experience in claims, UM operations, or managed care mail room environment involving high volume mail handling and data entry.Must understand methods for staff motivation and monitoring of performance against established standards.Must be able to assess work volumes versus resources and make necessary staff reallocation to achieve objectives.Needs to be able to communicate with staff in a clear and concise manner.Needs basic understanding of word processing and spreadsheet applications; Microsoft Office experience is preferred. Must have strong written and verbal communication skills. Must possess strong analytical and problem solving abilities.
